As a small business owner, everything in your business is dependent on you. Whether it be sales, marketing, finance, operations, etc.
If you want to achieve time freedom where your business can run and grow without you, you need to systemize your business.
You need to create customer service systems, technology systems, Sales and marketing systems, Finance and accounting systems, Recruitment and Training systems, etc.
In short, every area of your business to be systemized so that your business runs smoothly and grows even in your absence; that means you have more time to think strategically, expand your business, and more time to spend with your family and friends.
Steps to create systems
1. IDENTIFY THE PARTICULAR PROCESS THAT YOU WISH TO SYSTEMIZE
The starting point of systemizing your business is to identify the processes that you wish to systemize and make a list of all the processes. For eg. If you are a consultant, you can identify areas such as customer service and support, Technology, Sales Presentation, etc. Depending upon your business model identify the processes you want to systemize.
2. CHOOSE HOW YOU WILL RECORD ALL THE ESSENTIAL PROCESSES
After you have chosen which processes to systemize next step is to choose how you will record the processes; will IT be in a written step-by-step document, or will it be diagram or infographic, or will it be a mind-map, or will be it flow-chart, video or audio.
3. TRANSCRIBE THE PROCESSES
After you have chosen how you will record the processes; the next step is to transcribe or write down the processes in the form of a text document, diagram, video, or audio. You can also use speech-to-text transcribe technology available on the internet.
4. ENTER THE VARIOUS PROCESSES INTO ONE MANUAL
After you have created various processes take a binder and put all your printed documents in one file and that will become the operation manual of your company. You can also save soft copies on your computer and cloud storage. Once you have all your processes in one place it will be easier for your existing employees to refer from time to time as well as it will be of immense help in training new employees.
5. TEST OUT THE NEW SYSTEM YOURSELF FIRST
Before you start to implement new systems in your business you need to test yourself first to check if there are any missing steps or flaws.
6. GET A MEMBER OF YOUR TEAM TO TEST IT OUT
Once you test it out yourself, ask your team member to test it out. There is a possibility that you might have missed some important steps or your process needs some corrections or changes; as your team will be using processes and systems on day to day basis they will be in a better position to help you in creating systems.
Once all the steps are completed, implement systems in your business by training your employees and asking them to refer operations manual. Your job is not finished yet because business is an infinite game and not finite. You need to review the systems from time to time, schedule a systems review time once in three months or six months to make some adjustments and improvements. Also, you need to check whether there are new systems you need to create and implement in your business from time to time.
